• your first and last name;
• your email address;
• the subject and content of your enquiry;
• any other information you choose to include; and
• limited technical information generated when you use the website, such as your IP address and basic security or server-log information.
Please avoid including unnecessary sensitive personal information in the contact form.
How we use your information
We use contact-form information to:
• read and respond to your enquiry;
• provide information about our training, support and services;
• manage our relationship with you;
• maintain the security and proper operation of our website; and
• meet any applicable legal or regulatory obligations.
Submitting an enquiry does not add you to a marketing list. We will not use your contact-form details to send marketing messages unless you separately ask or consent to receive them.
Our lawful basis
We normally process enquiries under our legitimate interests in communicating with people who contact TfE and providing information about our work.
Where your enquiry concerns taking steps towards receiving a service, our lawful basis may also be that processing is necessary before entering into a contract or arrangement at your request.
We may process information when necessary to comply with a legal obligation.
Providing information
You are not legally required to use the contact form. However, we need a suitable means of contacting you if you would like a response. You may instead contact us by email or telephone.
Who receives your information
Access is limited to people who need the information to respond to your enquiry or administer TfE’s website.
Information may also be processed on our behalf by service providers supporting:
• website and database hosting;
• email delivery;
• website security, maintenance and technical support; and
• data backup and recovery.
We do not sell personal information. We may disclose information where required by law or where reasonably necessary to establish, exercise or defend legal rights.
International processing
We do not intentionally send website enquiries overseas. Some technical providers may use infrastructure outside the UK. Where an international transfer applies, it must be covered by an appropriate legal mechanism, such as UK adequacy regulations or approved contractual safeguards.
How long we keep information
Contact-form entries and routine enquiry correspondence will normally be retained for no longer than 12 months after the enquiry has been resolved.
We may retain relevant information for longer where it becomes part of an ongoing service, contractual, safeguarding, financial or legal record. Information that is no longer required will be deleted or securely anonymised.
Security
We take reasonable technical and organisational measures to protect personal information. These include restricting administrative access, maintaining website software, using secure connections and retaining backups.
No online system can be guaranteed completely secure. Please do not use the contact form for highly sensitive or urgent information.
Your rights
Depending on the circumstances, you may have the right to:
• ask for access to your personal information;
• ask us to correct inaccurate or incomplete information;
• ask us to delete information;
• ask us to restrict its use;

• receive certain information in a portable format.
These rights are not absolute and may depend on the lawful basis and circumstances of the processing.
